Discuss a registration portal for the two upcoming ARC workshops

Meeting Overview

  • Cathy will be running two ARC workshops in spring at different sites
  • Current registration process is cumbersome, involving Google Forms, spreadsheets, and manual communication
  • Need to create a streamlined registration portal that can be integrated into the organizer's website
  • Solution should be ready for promoting events by November/December for January workshops
  • Cathy will be running two ARC workshops in spring at different sites

Current Registration Issues

  • Google Form creates confusion when people think they're registered after filling it out
  • Manual process requires multiple emails to participants, service refs, and caregivers
  • Spreadsheet management described as a "nightmare" and "very sloppy"
  • Information scattered across multiple systems (Google Docs, Excel, email)
  • Hours of time spent on manual administration

Desired Portal Solution

  • Single portal where participants can:
    • Fill out the interest form
    • Have service coordinator complete screening tool (via link)
    • Register for events
    • RSVP for specific workshop dates
  • Portal should integrate with organizer's website
  • Need option for "hidden" or private events

Technical Requirements

  • Pull client data from:
    • Eventbrite (per event, per client) - "CLIENT MANAGEMENT"
    • QuickBooks (all funding information) - "FUNDING"
  • Different authentication levels:
    • Admin (full access)
    • ARC (limited access to ARC-specific information)
    • Client (portal access)
  • Allow staff to check event attendance and see important information (allergies, photo waivers)
  • Ability to take notes for each client per event

Spencer's Proposed Solution

  • CRM system with searchable client profiles
  • All client information accessible in one place
  • Events management with attendee tracking
  • Ability to pull data from Eventbrite and QuickBooks
  • Different authentication levels for various user types

Action Items

  • Cathy to email Spencer with detailed portal requirements and necessary steps
  • Spencer to send current mockup for review
  • Schedule follow-up meeting for next week
  • Develop portal solution in time for November information rollout
